Chef Services & Menu Planning
A Crown Point Ltd. (“CP”) coordinator and/or chef will collaborate with the client to curate a personalized menu based on details provided during consultations with our Concierge Coordinator. For quality control and record-keeping purposes, all menu planning and chef communications must be conducted via email.
Menu selections, guest counts, dietary restrictions, and special requests must be finalized and confirmed no later than seventy-two (72) hours prior to the scheduled service date. Failure to provide confirmation may result in cancellation of services and applicable cancellation fees.
CP reserves the right to assign a qualified substitute chef or service professional should unforeseen circumstances require staffing adjustments.
Concierge Service Fee
All culinary services are subject to a Concierge Service Fee of twenty percent (20%), which covers consultation, menu planning, sourcing coordination, administrative support, scheduling, logistics management, and concierge services related to the booking.
The Concierge Service Fee is non-refundable once menu planning and service coordination have commenced.
Ingredients, Provisions & Sourcing
CP prioritizes sourcing fresh, local, organic, and sustainable ingredients whenever available.
For private dining experiences, chef services, and culinary events, all provisions, ingredients, specialty items, beverages, and related sourcing costs are billed separately from service fees and will be invoiced following the completion of each booking based on actual purchases made on the client’s behalf.
Arrival Meals are the only culinary service for which provisions are included in the quoted price unless otherwise stated.
Clients may request specific stores, brands, or suppliers; however, CP reserves the right to source suitable alternatives when necessary due to availability, seasonality, quality concerns, or supplier limitations.
Scheduling, Access & Service Conditions
Clients are responsible for providing safe, unrestricted access to the property and kitchen area on the scheduled service date.
If CP personnel are unable to access the property due to locked doors, missing keys, unavailable access codes, security restrictions, or any other barrier beyond CP’s control, the service shall be considered a last-minute cancellation and no refund shall be issued. The client shall remain responsible for any costs incurred by CP.
For safety and service quality purposes, clients are encouraged to minimize disruptions in the kitchen area during food preparation, including unsupervised children and pets.
CP reserves the right to modify service timing, menu items, or preparation methods when circumstances beyond its reasonable control affect service delivery.
Home Kitchens & Equipment
CP chefs will treat the client’s home and equipment with care and will leave the cooking area in a clean and orderly condition upon completion of service.
Clients are responsible for ensuring that the kitchen is reasonably clean, functional, and suitable for food preparation prior to the chef’s arrival.
Additional fees may apply if excessive cleaning, sanitation, or workspace preparation is required before service can begin.
CP is not responsible for service limitations resulting from inadequate appliances, missing cookware, faulty equipment, utility interruptions, power outages, gas interruptions, water interruptions, or other deficiencies within the property. Menu modifications may be necessary based on available facilities and equipment.
Arrival Meals
Arrival meals are prepared in advance and delivered to the vacation rental or residence prior to or soon after the client’s arrival.
The client is solely responsible for the proper storage, refrigeration, reheating, and handling of all delivered items after delivery. CP shall not be liable for food quality, spoilage, illness, or damages resulting from improper storage, handling, preparation, or consumption after delivery.
Food Safety, Allergies & Dietary Restrictions
Clients must provide complete and accurate dietary restrictions, allergies, sensitivities, medical conditions, and menu preferences no later than seventy-two (72) hours before the scheduled service date.
CP will make reasonable efforts to accommodate dietary requirements; however, allergen-free environments cannot be guaranteed. Ingredients may be sourced from suppliers and facilities that handle common allergens, including but not limited to nuts, shellfish, dairy, gluten, soy, and eggs.
CP shall not be held liable for adverse reactions resulting from incomplete, inaccurate, or untimely disclosure of dietary information.
Food Storage & Leftovers
Upon completion of service, responsibility for any remaining food, leftovers, or prepared items transfers immediately to the client.
Clients are responsible for the proper storage, refrigeration, reheating, and consumption of any remaining food. CP assumes no liability for food safety, quality, spoilage, or illness occurring after service has concluded.
Alcohol Policy
Where requested, CP may assist with sourcing alcoholic beverages in accordance with applicable Bermuda laws and regulations.
Clients and their guests assume full responsibility for the consumption of alcoholic beverages. CP reserves the right to refuse service or discontinue participation in any event where guest conduct, intoxication, safety concerns, or unlawful activity creates an unsafe working environment.
Guest Count Changes
Final guest counts must be confirmed no later than seventy-two (72) hours before the scheduled service date.
Increases in guest count after confirmation may be accommodated at CP’s discretion and will incur additional charges.
Reductions in guest count made within seventy-two (72) hours of service shall not reduce previously agreed service fees or provision costs already incurred.
Invoices, Payment & Late Fees
Invoices will be issued electronically and delivered via email.
Unless otherwise agreed in writing, all service invoices must be paid prior to the scheduled service date. Provision invoices issued following service are payable upon receipt.
Accepted payment methods include direct bank transfer, Visa, and Mastercard.
A late fee of ten percent (10%) may be applied to overdue balances. CP reserves the right to suspend or withhold future services until outstanding balances are paid in full.
Cancellation & Refund Policy
More than seven (7) days prior to service:
Clients will receive a full refund of monies paid, less the non-refundable twenty percent (20%) Concierge Service Fee and any non-refundable costs already incurred, including ingredient purchases, specialty orders, deposits, or third-party supplier commitments.
Between three (3) and seven (7) days prior to service:
Clients will receive a fifty percent (50%) refund of service fees paid, less the non-refundable twenty percent (20%) Concierge Service Fee and any non-refundable costs already incurred.

No refund shall be issued.
Force Majeure
CP shall not be liable for delays, cancellations, modifications, or failure to perform services due to circumstances beyond its reasonable control, including but not limited to hurricanes, severe weather, natural disasters, transportation disruptions, utility failures, supplier shortages, government actions, public health emergencies, labor disputes, or other force majeure events.
Property Damage & Liability
CP is not responsible for pre-existing damage, defective equipment, or maintenance issues within the property.
Any concerns regarding property condition or equipment functionality should be communicated prior to service.
The client agrees to release, indemnify, and hold harmless Crown Point Ltd., its employees, contractors, chefs, and representatives from claims, losses, damages, liabilities, expenses, or injuries arising from guest conduct, unsafe property conditions, inaccurate dietary disclosures, alcohol consumption, or circumstances beyond CP’s reasonable control.

No identifiable images of guests will be used without prior consent.
